SUMMARY STATEMENT:
The Accounting Associate is responsible for assisting in the overall operation of the General Fund, implementing new business processes and the day-to-day operations of the Finance Office. This position also maintains all accounting records for auxiliary and agency operations.
ORGANIZATIONAL RELATIONSHIPS
- The Accounting Associate reports directly to and is responsible to the Director, Finance.
- This position does not require the supervision of other personnel.
- The Accounting Associate coordinates closely with students, college employees, various College departments, finance office co-workers, and state and local government agencies in carrying out assigned responsibilities.
ESSENTIAL DUTIES
Reporting/Reconcilement:
- Monthly reconcilement of bank accounts.
- Monthly reconcilement of due to/from accounts and preparation of CREN session posting.
- Annual reconcilement of outstanding check lists (GF and payroll) and assists in contacting employees, vendors and students for resubmission prior to turning over of funds to the State.
- Quarterly reconcilement of petty cash account and processing check request for replenishment.
- Preparation and entering of food service daily sales and tracking of non-taxable sales.
- Maintains accounting records for Alumni, Independent Operations Fund, Auxiliary Services.
- Posting of various square deposits to general ledger.
- Maintains office supplies for department to include ordering.
Assists with day-to-day of the Finance Office:
- Assists students with payments, questions, etc. by counter, phone, or email.
- Prepares all miscellaneous.
- Prepares non-tax report for food services and digital printing and design services.
- Provides outside invoicing of rental facilities and miscellaneous charges for Auxiliary Services, Continuing Education, Independent Operations and Food Services.
- Preparation and participation in annual audit.
- Assists with updating the Finance Office web page and implementation and maintenance of the Finance Office Portal.
- Assists with collection of past due accounts for students, staff, and vendors.
- Assists with record retention in accordance with State and Federal regulations.
- Cross train with other Finance Office employees to provide coverage when necessary
Perform other duties as assigned by the Director of Finance or Assistant Director, Finance:
- Supports Assistant Director, Finance in researching variances regarding non-tax reports and sales tax reporting.
- Fulfills special projects as assigned by the Director and Assistant Director of Finance.
- Initiates check requests for Finance office expenses at the director’s request.
EDUCATION AND EXPERIENCE:
Associate degree required or the willingness to work towards a degree if hired; Three to four years related experience; or any combination of experience and training which provides the required knowledge, skills, and abilities.
SKILLS AND ABILITIES:
Must have excellent skills in computer applications such as Microsoft Word, PowerPoint, Excel, Access, e-mail (Outlook preferred) and ability to use an integrated computerized system (Datatel preferred). Ability to: make difficult arithmetical calculations rapidly and accurately; work and make decisions independently with a minimum of supervision and communicate with tact and diplomacy; organize and prioritize work load, complete tasks in a timely manner, and attend to details. Ability to interact effectively and professionally with students, staff, faculty, vendors and outside agencies.
WORKING ENVIRONMENT:
The ability to maintain focus on work and responsibilities in an environment that has numerous interruptions. Minimal lifting is required with this position.
